Facilities Design Coordinator

GENERAL SUMMARY:

The Facilities Design Coordinator is responsible for the preparation of office locations for new physicians including activities such as site selection, oversight of lease contract processes, coordination of architectural/construction processes and timelines, coordination of designer processes, selection and installation of furnishings, coordination of initial supply/equipment orders, and oversight of renovations for acquisitions. This position is ultimately responsible for coordinating the activities necessary for the acquisition/renovation of office space, providing timelines and ensuring that space is prepared in a timely manner.



PRINCIPAL DUTIES AND JOB RESPONSIBILITIES:
  • Identifies space in strategic locations in each of the regions. Secures space including contract negotiation and completion.
  • Coordinates with Physician Strategy and Planning and Transition Manager the location of space based on the physician’s non-compete when appropriate.
  • Sets timelines for space development.
  • Coordinates architectural companies and maintains timelines for plan development. Ensures that architectural plans

include all necessary elements for efficiency.
  • Oversees construction processes to ensure quality of materials and construction.
  • Works with designer to develop standard finish selections for physician offices.
  • Negotiates furniture pricing for all offices. Orders furniture and coordinates arrival prior to go-live date.
  • Coordinates the necessary communication and installation of equipment for the practice.
  • Works with marketing to standardize required signage for all offices. Oversees change in signage for acquisition practices.
  • Develops standardized initial supply order for primary care and specialty offices.
  • Obtains Certificate of Occupancy for new offices. Reviews acquisition space for necessary updates. Evaluates office space utilization. Recommends facility improvement including construction and renovation.
  • Ensures that all FHMG practices maintain a clean, professional appearing physical plant.
  • Follows, tracks and processes expenses of project.


KNOWLEDGE AND SKILLS REQUIRED:
  • Knowledge of fiscal management.
  • Knowledge of governmental regulations and compliance requirements.
  • Knowledge of human resources management techniques, principles and practices.
  • Knowledge of computer programs and applications.
  • Skill in exercising a high degree of initiative, judgment, discretion and decision-making to achieve organization objectives.
  • Skill in analyzing situations accurately and taking effective action.
  • Skill in using computer software to include word-processing, spreadsheets, database and general accounting.
  • Skill in establishing and maintaining effective working relationships with employees, policy making bodies, physicians, outside contractors, third party and the public.
  • Skill in organizing work, making assignments and achieving goals and objectives.
  • Skill in establishing and maintaining quality control standards.
  • Skill in organizing and integrating organization priorities and deadlines.
  • Skill in research and comprehensive reporting.
  • Skill in developing and initiating strategies for growth and development.


KNOWLEDGE AND SKILLS PREFERRED:

Use of AutoCAD

EDUCATION AND EXPERIENCE REQUIRED:
  • High School graduate or equivalent
  • Demonstrates the ability to communicate by reading, writing, speaking and comprehending English effectively in order to carry out the job requirements.


EDUCATION AND EXPERIENCE PREFERRED:
    • AA or Bachelor’s degree
    • Experience in project management
